Setting up users and accessing the system

What if I’ve forgotten my password?

Go to the homepage and click the ‘forgotten password’ link. You will receive an email prompting you to set a new password. The reset password link will expire after five days. 

I’ve clicked the link in my welcome email but it’s showing as expired. What should I do?

If you are an Exams Officer and your welcome email has expired, contact us at info@cambridgeinternational.org

We will resend your welcome email, and you will need to click on the link to verify your account and set a password. The link in the email will expire after five days.

If you are a teacher or Head of Centre, you should contact your Exams Officer, who will be able to resend your welcome email. 

My Exam Officer says they have set me up on the system but I can’t login

If you are a teacher or Head of Centre, go to the homepage and click the ‘forgotten password’ link. If this doesn’t work, contact your Exams Officer to check that you have been added to the system correctly.

I’m having difficulties remembering my login details, and now the system is telling me that I have attempted login too many times

After 10 incorrect login attempts, your account will be blocked. If this happens, you will need to contact us at info@cambridgeinternational.org 

I’m not registered on the system but I need to upload predicted grades or approve grades and rank orders.

Contact your Exams Officer, who will be able to add you as a user on the system. Once they have done this, you will receive a welcome email. You will need to create a password.  The link in your welcome email will expire after five days. 

I am a teacher at multiple centres – what should I do?

You will need a different email address for each centre. You should contact the Exam Officer at each of the centres where you teach so they can set you up on the system. 

I am Head of Centre at multiple centres – what should I do?

You will need a different email address for each centre. You should contact the Exam Officer at each of the centres where you are Head of Centre so they can set you up on the system. 

My role has changed in the system so I can't perform the actions I expect to be able to do.

Contact your Exams Officer. They will be able to add you to the system under the correct user role. 

I've completed my predicted grades and rank orders but the system says my Head of Centre is not set up.

Your Exams Officer will need to add your Head of Centre. Once they have done this, the Head of Centre will receive an email and will need to verify their email and create a password. The Head of Centre will not be able to use the system until they have verified their email address and set up a password. The verification link in the welcome email will expire after five days. 

My Head of Centre is unavailable so can’t sign off my submission.

Your Exams Officer will need to add another person as the Head of Centre to approve submissions on behalf of the school. Only one Head of Centre account is allowed per centre, so they will need to remove the old Head of Centre first. 

I can’t get hold of the Exams Officer at my school

Please ask your Head of Centre to contact the Exam Officer at your school. If they are not available, your Head of Centre should nominate a deputy for the Exams Officer role. Please contact us at info@cambridgeinternational.org with the name and email address of the new Exams Officer, as well as your centre name and number. We will add the new Exams Officer to the system. 

How do I add a teacher or Head of Centre?

Only Exams Officers can add new users to the system. Go to ‘manage users’ to add a teacher or ‘Set up sign off authority’ to add a Head of Centre. Once you have done this, they will receive an email asking them to verify their account and set a password. The verification link in the email will expire after five days.  

How do I remove a teacher or Head of Centre?

Only Exams Officers can remove users from the system. Go to manage users and delete the ones you want to remove. They will no longer be able to access the system unless you add them again.

I’m using the Internet Explorer web browser and the page doesn’t work as expected

Our supported browsers are latest versions Chrome, Safari, Edge and Firefox. Please download one of these browsers and try again.  Internet Explorer is not a supported browser.

 

Entering predicted grades and rank orders

I can access my account, but the system will not let me enter grades or rank orders

Although you can log in to the system to add user accounts at your school, the window for submitting grades and rank orders does not begin until 29 May. When the submission window opens, you will be able to start submitting grades in the system.

Why are Cambridge International AS & A Levels and core/extended options showing as separate syllabuses?

You need to submit grades for AS & A Level and core/extended options separately in the system.

What should I do if I do not have enough evidence to provide a predicted grade for a candidate?

If you do not have enough evidence to assign a predicted grade to a candidate, you should grade them with an X. This will withdraw the candidate from that syllabus.

I've downloaded a syllabus spreadsheet to complete offline. What format does it need to be in when I upload it to the system?

The template needs to be saved in .CSV file format (file, save as type, CSV).

I have added all my grades and rank orders to the template I downloaded, but the system will not accept it. What should I do?

When you upload your template please make sure:

  • You have not amended, added or removed any of the pre-populated candidate details that were on the template you downloaded (e.g. Candidate name, Candidate number, Date of Birth..)
  • You have not changed any of the columns/column headings on the template
  • You have used the correct grade set for your syllabus. Please also make sure that any grades you enter for Cambridge International AS Level only (excluding U and X grades) and in lower case format (e.g. a or b rather than A or B)
  • Your template is saved in .csv format

What should I do with a spreadsheet after I've uploaded to the site?

The file should be deleted from your device as it contains personal student information.

Is the process for entering predicted grades and rank orders different for Cambridge Associate schools?

Schools that work with us through a Cambridge Associate will submit grades and rank orders through the Grade Submission System in the same way as other Cambridge International schools. We have been working closely with all Cambridge Associates throughout this process.

How can I check all grades and rank orders before submitting them to the Head of Centre?

You can either review the grades and rank orders for each syllabus online through the system, or you can download a template

Can I change a candidate’s grade or rank order once I’ve added it to the system?

You can change candidate grades at any time until you have submitted them to your Head of Centre. If you change a candidate grade once you have assigned rank orders, you will see a pop-up from the system. This will remind you that you will have to assign a new rank order within the changed grade.

 

Submitting grades and rank orders for approval

The system will not let me submit a syllabus for approval

If you are having problems submitting a syllabus for approval, check:

  • That there are no errors on the system - for example candidates without a grade, or tied rank orders
  • That your Head of Centre is set up in the system

If you still cannot submit your syllabus for approval, please contact Customer Services at info@cambridgeinternational.org

How will I know if a syllabus has been sent for review?

Once a syllabus has been sent for review, you will see a blue status bar in your dashboard that says ‘Awaiting approval’. When your Head of Centre has approved and submitted the syllabus to Cambridge International that status bar will change to ‘Approved and submitted’.

I have submitted grades and rank orders to my Head of Centre. Can I edit them?

You cannot edit grades or rank orders while they are with a Head of Centre for approval. If you wish to make changes, your Head of Centre will need to send your submission back to you for review. When they have done this, you can make changes.

Can I change a grade or rank order when my Head of Centre has approved and submitted to Cambridge International?

Once grades and rank orders have been submitted to Cambridge International, you can no longer edit them. If you need to make further changes, you will need to contact Customer Services before 16 June.

Please make sure you allow time for your Head of Centre to review and approve each syllabus before the submission window closes on 16 June. Remember that if your Head of Centre has questions about the grades you have submitted, this will make the process longer.

How will the Head of Centre know that I have submitted a syllabus for approval?

When your Head of Centre logs into the system using their account details, they will be able to see any syllabuses that you have submitted for them to approve. Your Head of Centre will not receive an email notification when a syllabus has been submitted to them, so they should check the system regularly during the submission window.

What is the Head of Centre declaration, and why does my Head of Centre need to submit one?

When your Head of Centre approves and submits predicted grades and rank orders, they will be asked to submit a Head of Centre declaration. The declaration asks the Head of Centre to acknowledge that they are accountable for assuring themselves that predicted grades and rank orders of candidates are:

  • representative of the professional judgements made by their teachers
  • honest, and fairly represent the grades that these candidates would have been most likely to achieve if they had taken their exams as planned

We cannot accept predicted grades and rank orders from a school without a valid Head of Centre declaration. More information about regulations for the June 2020 series can be found here.
